A workspace is a billing unit for your subscription. You can own or be part of as many workspaces as you want, but each one will require its own subscription.
An App User is someone who can log into the Softr app you've built.
We will only count users that are in your published apps.
If you have public pages that doesn't require login, anonymous users who visit those pages will not count.

1. An App Builder is someone who can build and edit Softr apps in your workspace. You may have:
- Workspace Collaborators — can access all applications in your workspace.
- Guest Collaborators — can only access selected applications they’ve been invited to.
2. An App User is someone who can log into a Softr app that you have built.
Every Softr application comes with a dedicated Softr subdomain (E.g. yourapp.softr.app), but you can also connect it to your own domain.
Note that if you connect to different subdomains that share the same root domain, they will each count as a custom domain.
Example: if one of your apps connects to app.example.com and the other one to example.com, they’ll be counted as 2 custom domain connections.
When you’ve used the free custom domain connection that comes with your workspace and want to connect to an additional domain, we will ask you to confirm the extra charge before completing the connection.

A user group is a "role" inside your Softr app.
You can assign different permissions to each user group, and add users (either manually or based on conditions) to the groups to simplify permission management.
By default, every Softr app comes with 2 user groups:
- Logged-in users
- Non-logged-in users
If you're on Professional plan or above, you'll get to create your custom user groups.
This is the max number of records you can have in a single app. An app that hits the limit will still work, but it won't process additional records.
We divide the usage into 2 buckets:
Standard data sources
- Airtable
- Google Sheets
- SmartSuite
- HubSpot
- Monday
- Notion
Advanced:
- SQL databases
- BigQuery
- Xano
- Supabase

The best way to guide your decision is to use the number of apps and app users as a starting point.
If permission control is important to you, we'd recommend at least Professional plan so you can create custom user groups and assign more advanced permissions.
